TEAM
The Corporate Real Estate and Workplace Services team offers the working environment and services that provide a concept of agile and empiricism to meet our company's objectives; we strive to create a platform where our company and employees can grow and thrive together. To support the hybrid work approach in our company effectively, the Corporate Real Estate and Workplace Services team takes an assessment between the office usages and the business requirements as a trusted professional advisor from a real estate and facilities perspective.

WHO ARE WE LOOKING FOR?
The Workplace Services Specialist will assure the employees of Woven by Toyota across our sites are enabled to do their best work in a safe, healthy, inclusive space they will love coming to work in. Reporting to the Workplace Services Manager (based in Tokyo), you will support the daily operations of multiple locations in Japan to provide more productive and efficient services to the employees.

Our Corporate Real Estate and Workplace Services team supports multiple sites in Tokyo and beyond. They take great care and pride in creating and maintaining exceptional workspaces where our teams can thrive.



RESPONSIBILITIES
  • Organizing, sharing, and disseminating information related to office rules and usage
  • Coordinating and managing the disaster safety confirmation process, leading system setup and functionality enhancements, and collaborating with other departments
  • Handling employee requests and inquiries related to office matters while ensuring smooth communication
  • Implementing improvements to enhance efficiency and service quality, including coordination with other departments
  • Managing vendor relationships
  • Handling procurement and expense processing, including future cost allocation management
  • Collaborating with and supporting team members with disabilities


  • MINIMUM QUALIFICATIONS
  • 5+ years of experience in Office Administrations or General Affairs
  • Proficiency in Japanese language as the role requires daily communications with local vendors
  • Fluency in English as the role requires communication with foreign employees
  • Familiar with Microsoft Office or Google Suite
  • Good communication skills for smooth business operations internally and cross-functionally
  • Comfort with a high-growth company, where everyone is encouraged to participate in and contribute across all teams


  • NICE TO HAVES
  • 3+ years of work experience in a multinational corporation
