TEAM
The Workplace Operations team offers the working environment and services that provide a concept of agile and empiricism to meet our company’s objectives; we strive to create a platform where our company and employees can grow and thrive together. To support the hybrid work approach in our company effectively, the Workplace Operations team takes an assessment between the office usages and the business requirements as a trusted professional advisor from a real estate and facilities perspective.

WHO ARE WE LOOKING FOR
The Space Planning Assistant Manager will assure the employees of Woven by Toyota across our sites are enabled to do their best work in a safe, healthy, inclusive space they will love coming to work in. Reporting to the Senior Facilities Manager (based in Tokyo), you will assess the office space needs of multiple locations in Japan and assist in the consideration of the future office portfolio. You will also collaborate with the facilities operations team on seating changes within the office, compile internal requirements and coordinate with relevant internal and external stakeholders.

Our Workplace Operations team supports multiple sites in Tokyo and beyond. They take great care and pride in creating and maintaining exceptional workspaces where our teams can thrive.



RESPONSIBILITIES:
  • Support Senior Facilities Manager managing the facilities operations in Japan offices.
  • Collaborate cross-functionally with internal departments (IT, HR, Finance, Legal, Communications & Marketing, etc.) to ensure a consistent employee experience and operational efficiencies.
  • Ability to review & understand lease terms as it relates to operations of each facility and impacts on multi-site policies & procedures.
  • Assess the number of headcount and capacity in Japanese offices, conduct interviews on future needs and support the development of strategic office plans.
  • Develop appropriate and efficient desk layout plans according to user needs.
  • When the need of MAC arises, liaise with IT, relevant departments, external contractors and BM companies to ensure that the change is completed by the deadline.
  • Ensure that the costs are appropriate when placing orders with contractors.
  • Make appropriate internal announcements when conducting MACs.
  • Continually develop & maintain vendor selections, scope & contracts.


  • MINIMUM QUALIFICATIONS:
  • 5+ years of experience in Facilities, Project Management or General Affairs.
  • Native level in Japanese and Business level in English as the role requires day-to-day communications with local suppliers.
  • Experience negotiating with and managing subcontractors, vendors, landlords, property managers, etc.
  • Innovative and able to think outside of box to solve complex issues.
  • Strong comfort with a high-growth company, where everyone is encouraged to participate in and contribute across all teams.
